Waiting room settings, access, patient intake, and payments

How to set up and configure your waiting rooms.

Waiting rooms can be configured individually and can include patient intake forms, integrated payments and co-pays, subscriptions, and access controls.

Free and Pro accounts are limited to 1 waiting room. Team accounts can have multiple waiting rooms with shared access.

To set up a waiting room:

  1. Go to: Settings > Waiting rooms > Click on "+ Create New"
  2. Configure the room name, welcome message, provider access, intake forms and payments.
  3. Set the room to "Active"

Once your room is active you'll be able to send the link to your room and accept live telemedicine sessions.

Waiting Room Settings

The Room Settings tab allows you to create a room name and custom link as well as provide a welcome message, link to your own terms of service, and create a room code that restricts access or allows anyone with the code to skip the payments page if you have that enabled.

  • Copying the room link will create a "magic link" that will work on mobile devices and the app as well as laptops and computers.
  • Enabling the Custom Check-in Code will require patients to enter that code before anything else.
  • You can use the Custom Check-in Code and "Skip payment page" to provide free access to paid rooms (like a coupon).
  • You can link to your own terms of service if you need to.

Providers access

Team accounts have the ability to share access to specific rooms.

  • All providers on this page will be notified (according to their own settings) when a new patient requests access to this waiting room.

Patient Intake: Questions & Assessments

Enable or disable patient intake questions that can include behavioral assessments before patients gain access to your waiting room.

  • Patient intake questions are optional and can be configured differently for every waiting room.
  • Intake questions are automatically added to patient notes and history.

Payments: One-time payments and subscriptions

Payments are optional and are disabled by default. Enabling payments will require payments before a patient can gain access to your waiting room.

Payments are flexible and allow you to set up any payment system you need for one-time access, co-payments, or even ongoing subscriptions.

  • You can use the "Room Code" and "Skip payment page" to allow free access.
  • You can set up a subscription for room access that allows you to bill for concierge services or ongoing access.
  • Cancel a subscription or issue a refund from the contacts page or the patients profile page.
